Privacy Notice

  1. Information Collected. At this stage, the Portal collects only statistical data submitted by regulated organizations. No personal information about individuals is intended to be collected through the Portal. Please do not include any personal information in any free-text fields or document uploads.

  2. Use of Information. The data submitted through the Portal is collected for regulatory compliance and reporting purposes in accordance with section 34 of FIPPA, section 26 of MFIPPA, section 6.4 of O. Reg. 329/04 under PHIPA, and section 11 of O. Reg. 191/18 under the CYFSA. The information will be used only for these authorized purposes.

  3. Storage and Security. All submissions are stored in accordance with the IPC’s Privacy and Information Security Policy. Appropriate technical and organizational safeguards protect data against unauthorized access, loss or disclosure.

  4. Retention. Records received by the IPC as part of the mandatory annual statistics reporting are retained in accordance with the approved records retention schedule under COM-IPC-5000. The reported statistics are aggregated for inclusion in public communications such as the IPC’s annual report and are also released as a complete downloadable dataset on the IPC’s website. Records are securely maintained for the duration specified in the schedule and disposed of in compliance with government information management standards.

  5. Future Phases. This Portal is being developed in phases. Future phases may expand to collect additional types of information, including personal information or other records. When this occurs, the Privacy Notice will be updated to reflect new practices before such information is collected.

  6. Relationship to IPC Website Privacy Policy. This Privacy Notice should be read in conjunction with the IPC’s Website Privacy Policy, which describes additional standard website practices such as limited data collection for website analytics and the use of cookies. To the extent applicable, these same commitments and protections apply to this Portal, except where this Privacy Notice provides otherwise.
